How to use

Capture and process the Inbox

Updated September 13, 2026

The Inbox is where anything that is not decided yet lands first: an idea, a request someone made, something you remembered in the middle of another task. Capturing is quick on purpose, so you can get back to what you were doing.

Capture

  1. In LifeHub, open Inbox.
  2. Type what is on your mind in What's on your mind?.
  3. Press Enter or choose Capture.

The Inbox tab shows how many items are still waiting to be processed.

Process

Go through the items from the oldest to the newest and decide what each one is:

  • Make it a task: opens the task form with the text you captured as the title. Fill in the four coordinates and choose Create task. The item leaves the Inbox and the task shows up in your lists.
  • Discard: for what no longer matters. The item leaves the Inbox without creating anything.

Each item can only be processed once. If you open the same item on two devices, the second one tells you it was already processed and refreshes the list.

Tips

  • Process the Inbox at least once a day, until it reads Inbox zero.
  • Don't organize while capturing: the moment to think about area, origin and nature is when you process.
